Set up the inbox (IMAP)
Receive emails via IMAP — enter server, port and credentials manually, also without Microsoft 365
→ Open email settings in SimpliServ
With IMAP, SimpliServ fetches emails from your mailbox – so your customers' replies land straight in the matching case. You set up sending separately via SMTP; the inbox runs via IMAP.
You need the admin.settings.update permission. You'll find the IMAP fields under Administration → Email in the Inbox (IMAP) section.
Set up IMAP manually
Open email settings
Go to Administration → Email and scroll to the Inbox (IMAP) section. Enable the Enable IMAP toggle at the top.
Enter the credentials
Enter your mail provider's details:
- Server / host (e.g.
imap.ionos.de,imap.gmail.com) - Port – usually
993for SSL,143for STARTTLS - Encryption – SSL (port 993) or TLS (port 143)
- Username and password of the mailbox
- Folder – the default is
INBOX
Test the connection
Click Test IMAP. SimpliServ reports immediately whether login and connection work. On an error, usually the port, encryption or password is wrong.
Save
After a successful test you save. From now on SimpliServ fetches new messages and assigns replies to the right case.
Microsoft 365? Then OAuth instead of manual IMAP
For Microsoft 365 mailboxes we recommend the OAuth connection instead of username/password – Microsoft is increasingly turning off basic IMAP. As long as a Microsoft 365 connection exists, the manual IMAP fields are locked (OAuth manages them). See Connect Microsoft 365.
If you do want to use manual IMAP, disconnect the Microsoft 365 connection in the connector first – after that the fields are editable again.
Other providers (e.g. Google Workspace, IONOS, your own mail server) work directly via manual IMAP. For Google/Workspace you use an app password instead of your normal password.
Certificate & advanced options
- Verify certificate – on by default. Only turn it off for self-signed certificates (your own server).
- Last UID – the fetch position. Normally don't touch it; in a support case it can be used to re-read specifically.
