Time reports & balance

Target / actual, plus and minus hours, sick leave, export for payroll

→ Open time reports in SimpliServ

The time report shows, for a freely chosen period, how much each staff member worked, how much they should have worked, how much leave and sick leave lay in between – and how high the plus/minus balance is at the end.

The key columns

ColumnWhat's behind it
WorkedActually clocked time minus breaks
LeaveApproved leave days × daily hours from the contract
Sick leaveApproved sick-leave days × daily hours
HolidayHolidays that fall on a working day
TargetWorking days × daily hours minus holidays
Plus/MinusWorked + Leave + Sick leave − Target

"Plus/Minus" tells you whether someone built up overtime or made minus hours for the period. Approved leave and sick leave count fully as meeting the target – someone on leave doesn't build up minus hours.

Create a report

Choose the period

From – to. Typically: a calendar month. A quarter or a whole year is also possible.

Choose staff

  • Mine – only your own figures
  • All – an overview of all active staff (needs the reporting permission)
  • A single staff member – select from the list

Show the report

The table shows one row per staff member with all values and the total.

Daily breakdown

Clicking a staff member shows the report day by day – ideal for seeing on which day someone left early or worked overtime. Weekends and holidays are also visible (with 0 as the target), so the overview is complete.

Columns:

  • Date
  • Worked (h)
  • Leave (h)
  • Sick leave (h)
  • Holiday (h)
  • Target (h)
  • Daily difference

Running balance

The balance is a permanently running value: all plus days and all minus days since the start, added up. It's at the top of the report.

  • Positive = accumulated overtime
  • Negative = hours still to be worked
  • Updated automatically as soon as someone clocks, leave is approved or time off in lieu is taken

Reduce the balance ("using up" overtime)

Via a time-off-in-lieu request the staff member draws hours from the balance. Example: 8 plus hours, 1 day of time off in lieu (8-hr contract), balance after approval = 0.

Export for payroll

Choose the period and staff

As above.

Click Download CSV

You get a table with the staff member, worked hours, leave, target and overtime for the chosen period.

Read it into Excel or at the tax advisor

The CSV format is read by any spreadsheet program and any common payroll program.

Who sees what?

  • Every staff member sees only their own report by default.
  • With the reporting permission, the overview across all staff is unlocked.
  • With the management permission, times may be corrected and exported.

You assign the permissions under Administration → Users & roles.

What isn't counted?

  • Future days in the chosen period – no target and no actual, so the report isn't skewed for the current month.
  • Incomplete clocking entries (still clocked in, no clock-out) – these only flow in on clock-out. See Time clock.
  • Rejected or cancelled leave requests – only approved requests count.

Tips

  • Plausibility check at month-end: is the target/actual ratio conspicuous? Often a forgotten clock-out or a not-yet-approved leave is missing.
  • Keep an eye on the balance regularly: staff with a constantly growing plus balance may need time off in lieu or a contract adjustment.
  • Check holidays: SimpliServ recognizes holidays automatically based on the company country. If local holidays are missing, check the company settings.
  • Time clock — the clocked times that feed in here as "Worked"
  • Leave & sick days — approved requests count fully as meeting the target and reduce the balance via time off in lieu
  • Employment contracts — weekly hours and daily hours from which the target is calculated
  • Users & roles — reporting and management permissions for access to others' reports
