Roster & shifts
Create a weekly plan, use shift templates, avoid conflicts, print a PDF
→ Open the roster in SimpliServ
The roster is the weekly or monthly overview of all shifts – sorted by staff. You immediately see who's scheduled when, where there are gaps, and where there are conflicts (e.g. approved leave during a planned shift).
Enter a shift
Click the cell you want in the roster
The cells are organized by staff (row) and day (column). A click opens the shift form for exactly this day and staff member.
Choose a shift template or enter the time
If you've created templates (see below), one click is enough – start and end time are entered automatically. Otherwise choose start and end time manually.
Optional note
E.g. "Covering for colleague Sarah" or "Training 2–4pm".
Save
The shift appears immediately in the roster and in the staff member's personal calendar.
Shift templates
Instead of filling in each shift by hand with times, you create recurring shift patterns as templates. Examples:
| Template | Time | Colour |
|---|---|---|
| Early shift | 06:00 – 14:00 | Blue |
| Late shift | 14:00 – 22:00 | Orange |
| Night shift | 22:00 – 06:00 | Purple |
You manage templates in Settings → Roster → Shift templates. You can set the name, start, end, colour and order.
If a staff member regularly has the same shift, you can click the template in a cell and the shift is entered in 1 second – even across several weeks by click-and-drag.
Conflict check
The roster automatically marks problematic constellations:
- Overlap – the same staff member is assigned two shifts at once
- Rest-period violation – there's less than X hours of break between two consecutive shifts (you can set X)
- Leave conflict – the shift overlaps with an approved leave or sick day of the same staff member
Conflicts appear as a red marking. So before publishing, it's noticeable that someone is double-booked or is supposed to cover while on leave.
Print the weekly plan as a PDF
Via Download PDF you get the current weekly plan as a printable PDF – ideal for posting in the break room or emailing to staff without SimpliServ access.
Choose the period
The default is the currently shown week. You can also export two weeks or a month.
Click Download PDF
The PDF opens in a browser tab and can be printed or saved directly.
What counts as a "shift"?
A shift is internally a calendar appointment marked as "Shift". It has:
- exactly one assigned staff member
- a start and end time
- a colour (from the staff member or from the shift template)
Shifts appear both in the roster and in the normal calendar. If you delete a shift, it disappears from both views.
Interplay with the time clock
The planned shift and the actually clocked time are separate: the shift is the plan, clocking via the time clock is the record. In the time report you see both side by side – who has plus or minus hours against the planned shift.
