Setup problems

Solutions for the most common errors: wrong password, certificate warning, emails won't send, missing folders, blocked sign-in

→ Open webmail

Test in webmail first

Sign in at webmail.simpliserv.app. If that works, your address and password are correct – then the error is in your app's settings.

The password isn't accepted

  • The user name must be the full email address, not just the part before the @.
  • Check the password carefully (upper/lower case, no trailing spaces when pasting).
  • If you have turned on two-factor sign-in, every email app needs an app password from webmail.
  • If the password was changed, it has to be entered again on all devices.

Sign-in suddenly blocked

After several failed sign-ins the server blocks the internet connection they came from for about an hour – often because a forgotten device is still using the old password. Correct the password on all devices and wait out the hour. If it takes longer, contact your admin.

Certificate warning ("Cannot verify server identity")

The server must be set to mail.simpliserv.app – not mail.your-company.com, imap.your-company.com or the old provider's server. Change the server; do not just accept the warning.

Emails won't send

  • Outgoing server mail.simpliserv.app, port 465 with SSL/TLS – or port 587 with STARTTLS.
  • Authentication for sending must be turned on, with the same email address and password as for incoming mail.
  • Some company or hotel Wi-Fi networks block port 465 – then try port 587 with STARTTLS.
  • Each mailbox can send at most 500 emails per hour. The mailbox isn't meant for newsletters or bulk mailing.

Sent emails are missing on other devices

The app isn't saving sent mail to the server's Sent folder:

  • iPhone: Settings → Apps → Mail → Mail Accounts → account → Account → Advanced, under Mailbox Behaviors → Sent Mailbox choose the Sent folder under On the Server.
  • Outlook (classic): with IMAP, Outlook stores sent mail in the server folder; check under File → Account Settings that it is an IMAP account.
  • Thunderbird: Account Settings → Copies & Folders → Place a copy in → Sent in the new account.

Emails are missing in webmail or on the phone

Almost always a POP3 account is still set up somewhere that downloads emails and deletes them from the server. Find the device, remove the POP3 account and set it up again as IMAP. Emails already downloaded you move there into a folder of the new IMAP account (see Moving).

Mailbox full

When your mailbox storage is full, no new emails can arrive. Empty the Trash and Spam folders and delete large attachments, or ask your admin for more storage. You can see how much is used at the bottom left in webmail.

An expected email isn't there

  1. Check the Spam folder in webmail. If an email ended up there by mistake, move it to the inbox.
  2. Check the filters under Settings → Filters in webmail.
  3. If an email doesn't arrive at all, give your admin the sender, time and subject.
