Chats with course leaders
The course office and course leaders write directly in SimpliServ — messages, files, shared assignments and broadcasts
With Chats the course office and your course leaders write to each other directly in SimpliServ instead of via private messengers. Each course leader has exactly one chat with the office. Messages, photos, documents and shared assignments stay with the business and are visible to everyone in the office.
By default SimpliServ only shows the Chats menu item when course planning is active. Anyone allowed to edit courses (Courses → Edit) sees all course leader chats as the course office. Anyone who only has the course leader role sees only their own chat with the course office.
As the course office: chats at a glance
On the left is the list of all course leaders with the last message, the time and the number of unread messages. Use Search course leaders to find a course leader; the filter All or Unread shows only chats with new messages. New messages appear immediately, and the bell icon also notifies you outside the chat page.
Click a course leader to open the conversation in the middle. At the top you see today's assignment, and Show in roster takes you to today's roster. On wide screens a sidebar on the right shows:
- Today: the course leader's assignments today with course day, time, meeting point and bookings
- Availability: the shift entered for today
- Shared files: all files exchanged in the chat
You can also jump into a chat from course planning: in a course leader's menu, the message action opens their chat.
Write a message
Enter text
Type in the input field at the bottom. Enter sends, Shift + Enter adds a new line. Insert emoji inserts an emoji.
Attach files
Via the paperclip (Attach file), by drag & drop into the conversation or by pasting from the clipboard you attach photos, videos (MP4, MOV), PDFs, Office files, CSV or text. Up to 5 files of at most 20 MB each are allowed per message.
Attach an assignment
If the course leader has assignments today, the calendar icon Attach assignment also appears. The chosen assignment is sent as a card with date, time and meeting point; clicking it opens the roster on that day.
Send
Click the send arrow. Once the recipient has seen the message, seen appears below it.
Load older messages at the top of the conversation with Load older messages.
Broadcast to several course leaders
For information to many people, such as a changed meeting point because of wind, the course office uses the Broadcast.
Open the dialog
Click Broadcast above the chat list.
Choose recipients
Choose the course leaders under Recipients or click Select all.
Send the message
Write the Message and send it. The button shows how many course leaders it goes to.
A broadcast is not a group chat: the message lands separately in each chosen course leader's chat. Replies therefore also come back separately.
As a course leader
Course leaders see their chat with the Course office directly under Chats. When a course leader writes, everyone in the course office is notified; when the office writes, only the course leader concerned is notified. Course leaders can also attach files and their assignments for today.
