Appointment requests

Review public appointment bookings from your forms, accept them and convert them into calendar appointments

→ Open appointment requests in SimpliServ

Appointment requests are booking requests customers submit via a public form with an appointment field. Each request lands as its own entry in the Appointment requests module – separate from the calendar – and waits there for your decision. Only when you accept it does a real calendar appointment come into being.

Where the requests come from is set in the form builder: a form with an appointment field shows visitors free slots that result from a calendar category and your weekly availability. How you build and publish such forms is in the guide Forms.

Where appointment requests come from

A request is created as soon as someone submits a public form with an appointment field. Name, email, phone, the requested time (start/end) and optional notes are taken over. If the person is already a customer or one is created on submit, SimpliServ links the request directly to the contact.

In the sidebar the module shows an open-requests counter, so nothing is left lying around.

Requests list

The table lists all requests with these columns:

ColumnContent
Namelast/first name of the requesting person (sortable)
Emailcontact email
Phonecontact phone
Requested timethe desired start time (sortable)
Statusthe current handling state (sortable)

The status goes through the following values:

  • Open – newly received, not yet handled
  • Accepted – converted into a calendar appointment
  • Rejected – rejected with an optional reason
  • Cancelled – withdrawn

Handle a request

Open the request

In the list, click an open request. Actions are only available for open requests.

Accept

Accept converts the request into a calendar appointment. You can adjust the category, status, title, location as well as start and end. After accepting, SimpliServ jumps straight to the created appointment in the calendar.

Or reject

Reject sets the status to Rejected. Optionally you add a message as a reason.

Delete

You remove requests you no longer need with Delete – regardless of status.

Accepting creates one calendar appointment. Adjust the title, location and time before confirming, because the appointment takes exactly these values. Which calendar categories and statuses are available for selection is configured under Administration → Calendar.

Permissions

The module uses the calendar's permissions:

  • View calendar (calendar.view) – access to the requests list
  • Create calendar (calendar.create) – accept requests (creates the appointment)
  • Edit calendar (calendar.update) – reject requests
  • Delete calendar (calendar.delete) – delete requests

You assign roles and permissions under Users & roles.
