Leads & pipeline

Capture sales opportunities as leads, move them through the pipeline and win them

→ Open leads · Open lead settings

Leads are sales opportunities you move through your pipeline — from the first enquiry to the won order. Each lead is linked to a contact and carries a value, stage, source and (optionally) recurring revenue.

Create a lead

Open the "Leads" module

In the left-hand navigation, under Sales, go to Leads. You'll see all existing leads as a table or as a pipeline board (switchable in the top left).

Create a new lead

Click New lead in the top right. A side sheet opens.

Assign a contact

Choose:

  • Existing contact: pick from your contacts
  • New contact: create it right in the sheet (name, company, email, phone, address)

The address is saved on the contact with a selectable type (billing, shipping, home, work, other). The default country is pre-filled from your tenant settings.

Enter lead details

  • Title (required): a short name for the deal (e.g. "BMW 320d maintenance contract")
  • One-off / setup: one-time value / setup fee
  • Monthly (MRR): monthly recurring revenue (for subscriptions)
  • Term (months): contract duration for subscriptions
  • Stage: the current pipeline stage (New, Contacted, Qualified, Proposal, Won, Lost). The default stage is pre-filled from the admin settings.
  • Source: where the lead came from (website, referral, outreach, event, other)
  • Expected close: the planned close date
  • Assigned employee: the salesperson working the lead
  • Notes: a free description

Save

Click Create lead. The lead lands in the selected stage and becomes visible in the table and the board.

The total contract value is calculated automatically: setup + MRR × term. For an open-ended contract (no term) the KPI uses 12 months.

Pipeline board

The board shows all leads in stage columns (Kanban style). Drag and drop moves leads between stages. In the column header you see the number of leads and the sum of contract values per stage.

  • Search: at the top of the toolbar — searches titles, notes and contact details (backend filter)
  • Subscription badge: cards with MRR show a Subscription badge

Detail view

Click a lead to open the detail page. Here:

  • Inline edit: all fields are directly editable
  • Contact card in the top right: shows the master data + address of the linked contact
  • Tasks: create tasks for the lead (a sheet like on the board), including priority, due date, assignment
  • Activity history: all changes to the lead (auditable)
  • Comments: internal/external, with file attachments
  • Custom fields: additional custom fields, definable in the admin area

Set the default stage

Under Admin → Sales → Leads you can set the default stage that new leads automatically get — e.g. always "New". That way you don't have to pick the stage every time you create one.

Manage stages and sources

In the same admin area:

  • Lead stages: rename stages, change the order, set colours, mark with a Won/Lost flag
  • Lead sources: manage sources
  • Custom fields: define additional fields per lead

Stages with linked leads can't be deleted. Move the leads first.

KPIs

Above the list/board you see 4 metrics:

  • Open leads: number of leads not in Won/Lost
  • Pipeline value: sum of contract value of all open leads
  • MRR (pipeline): sum of MRR of all open leads
  • Win rate: Won / (Won + Lost) × 100
