Custom fields

Create, sort and display custom fields and cards for contacts and products in the detail area

→ Open custom fields (contacts) · Open custom fields (products)

With custom fields you extend contacts and products with data fields SimpliServ doesn't ship by default – such as a serial number, a warranty duration or a select list. Custom cards then determine how these fields are grouped and displayed in the detail area.

You'll find both areas in Administration under Custom fields & cards: pick Customers for contact fields and Products for product fields (further entries exist for vehicles, leads, orders and contracts, among others). Each page contains two areas: Custom fields (the individual fields) and Custom cards (the layout).

Fields and cards are maintained separately for contacts and products. A contact field isn't automatically available for products – create it in both areas if needed.

Create a field

Open the "Custom fields" area

In Administration, go to Contacts → Custom fields or Products → Custom fields and click Add field in the Custom fields area.

Label and key

Enter a label (e.g. "Serial number") – this is how the field appears in forms. The key is generated automatically from the label and used internally for storage. You can adjust it, but only lowercase letters, digits and underscores are allowed, and it must be unique.

Choose the field type

Via Field type you set what kind of data the field holds (see the list below). For the select types, SimpliServ shows additional input fields for the options.

Required and active

Enable Required if the field must be filled in. Via Active you control whether the field is shown in forms – deactivated fields are preserved but hidden.

Save

Click Create. The new field appears in the list and is immediately available in the contact or product forms.

Available field types

The following types are available in the Field type menu:

  • Text – a single-line text field
  • Textarea – a multi-line text field
  • Number – numeric input
  • Select – a dropdown with one selectable option
  • Multiple choice – a dropdown in which several options can be chosen at once
  • Checkbox – a simple yes/no marker
  • Tri-state checkbox group – a list of checkboxes with three states (e.g. "Works" / "Doesn't work" / "Not checked")
  • Date – a date picker
  • URL – a web address
  • Email – an email address

Options for select fields

For Select and Multiple choice you set the selectable entries via Add option – each with a label.

Status labels for tri-state

For the tri-state checkbox group you additionally define the status labels for the three states – Selected (green), Indeterminate (red) and Not selected – as well as the individual checkboxes via Add checkbox.

For textarea fields, the AI support option additionally appears. If enabled, AI actions like correction, rephrasing and translation are available in the text field. The option is only shown if the AI features are enabled for your account.

Sort and edit fields

In the field list you see per field the label, the type, whether it's a required field and whether it's active.

  • Sort: drag a row by the handle on the left into the order you want. This order determines the display in the forms.
  • Toggle active: via the toggle in the Active column you show or hide a field directly.
  • Edit / delete: via the icons at the row end you open the field for editing or remove it. Deletion can't be undone.

Custom cards

Custom cards bundle your fields into a tidy layout in the detail area of contacts and products. In the Custom cards area, click New card.

Describe the card

Assign a label (e.g. "Technical data") and optionally a description.

Set the layout

Choose the number of columns (1, 2 or 3) and the position of the card (Left or Right). Optionally set a background colour and make the card visible via Active.

Tabs (optional)

Enable Enable tabs to group the card's fields into several tabs. Create the tabs via Add tab and order them with the arrow keys.

Assign fields

Under Assign fields choose the fields you want. Only active fields not yet assigned to a card are available. With tabs you assign fields per tab; you set the order by dragging.

Save

Click Create. The card appears with its fields in the detail area.

You adjust the order of multiple cards in the card list via the arrow keys in the Order column.

Restrict cards to customer groups or types

For contact cards you can control visibility specifically via Contact groups & types:

  • Limit to customer group – the card appears only for contacts in the selected customer groups.
  • Limit to customer type – the card appears only for contacts with the selected customer types.

That way you show, for example, supplier-specific fields only on contacts of type "Supplier".

Permissions

To view the configuration the admin.settings.view permission is needed, and to create and change fields and cards additionally admin.settings.update. You assign permissions under Users & roles.
