Order settings & labels
Configure the order module: default order status, default product for labour times, order statuses with stock flags, custom fields/cards/components and the label editor (100×150 mm, QR/barcode, fields, conditions)
→ Open order settings in SimpliServ → Open the label editor
Under Administration → Orders you configure the order module: defaults for new orders, order statuses, custom fields and cards, and the layout of the order label. The operational processing of orders themselves is described under Create & process an order.
You can open the page with the View settings permission (admin.settings.view). To save you additionally need the edit permission (admin.settings.update). The Order status area appears only with the associated status permission (orders.statuses.view).
Defaults
The Defaults card sets the default order status assigned to every newly created order as its initial status. Choose a status from the list and save.
Under Defaults for time tracking, the Default product for labour times card determines the product used when recorded time is converted into billable line items (see Time tracking).
Maintain order statuses
In the Order status area you manage all available statuses. Each status has a name and a colour (badge) that appears in lists and detail pages. Three flags control the stock and processing behaviour:
- Marks the order as completed (
is_finished) — reserved parts are automatically booked out of the warehouse, stock falls. - Cancellation status (
is_storno) — still-reserved parts are released, already booked-out parts are booked back into the warehouse. - Marks the order as ready for pickup (
is_ready_for_pickup) — the order counts as ready for collection.
The status flags trigger real stock movements. Set completed and cancellation deliberately, as they change reservations and physical stock.
Custom fields & cards
- Custom fields — define and manage additional fields for orders.
- Custom cards — compose cards with fields for the order detail page.
- Custom components — custom buttons in the header of the order detail page. Via Edit custom components you switch to edit mode and are taken to the order area; open an order there and add buttons via drag and drop. Buttons can optionally trigger a workflow (manual trigger) and be made visible or invisible per role.
The format of the order numbers is maintained not here but under Administration → Number formats (see Number ranges).
Order label (label editor)
Via the Label editor → Open editor card you reach the full-screen editor for the order label (default format 100×150 mm). The layout applies tenant-wide for all printed order labels.
"Design" tab
Here you control the global appearance:
- QR code — show/hide, size (10–40 mm) and content (order number or customer flow number).
- Barcode — show/hide, content (order number or customer flow number) and type (Code 128 recommended or Code 39).
- Further elements — show/hide the header (date + creator) and choose the format (workshop tag, square label, DK address/shipping label, receipt printer 80/58 mm, A6 landscape/portrait) or set the width and height freely via sliders.
- Typography — font, text and heading size and inner spacing.
"Fields" tab
Decide which contents appear on the label and in what order. Fields can be moved via drag and drop, shown/hidden, made bold, aligned and adjusted in font size. Via Add field you add further elements.
Each field draws its value from a source: service registration, order, customer, customer flow, free text or image. The QR code and barcode can be placed in the order here too.
Display conditions (optional)
Per field you can store a display condition — so a field appears only when, for example, a certain value is set, equal, contained or empty. That way you automatically show or hide contents depending on the order.
"Preview" tab & PDF
The live preview shows the label in real time; with the zoom buttons or a trackpad pinch you adjust the view. Via PDF preview you download a test PDF to check the print.
Save
With Save you secure the layout. Undo/redo (also via keyboard) and Reset to the default layout are available. If you leave the editor with unsaved changes, SimpliServ asks before leaving.
The content of the QR code and barcode can point to the order number or the customer flow number — handy when the label accompanies a device in a service/workshop process. More on flows under Customer Flow.
