Number ranges

How to configure the number ranges (number formats) for documents and register receipts in SimpliServ: the format with variables, digit count and next number per series.

→ Open the "Number formats" module in SimpliServ

Under Number formats you set how SimpliServ generates the document numbers for your documents and register receipts. Each document type has its own series with its own format, digit count and a running counter. All series are managed in one table — you see the format, next number and a live preview at a glance.

The structure of a number

A document number is composed of fixed text (e.g. a prefix like RE-) and variables. The only mandatory variable is {{NUMBER}} — the running counter. If you don't insert it, SimpliServ adds it automatically at the end of the format.

The following variables are available:

  • {{NUMBER}} — the running number (mandatory), padded to the set digit count
  • {{YYYY}} — the current year, four digits (e.g. 2026)
  • {{YY}} — the current year, two digits (e.g. 26)
  • {{MM}} — the current month with a leading zero (e.g. 03)
  • {{M}} — the current month without a leading zero (e.g. 3)
  • {{DD}} — the current day with a leading zero (e.g. 09)
  • {{D}} — the current day without a leading zero (e.g. 9)
  • {{REGISTER_ID}} — the register ID (only for register-related receipts like receipt, cash movement, voucher, Z-report)

If the next number of an invoice series is e.g. 42 and the digit count 4, the format RE-{{YYYY}}-{{NUMBER}} produces the number RE-2026-0042. The prefix is derived automatically from the fixed-text part of your format.

Edit a series

Open the "Number formats" module

In the left-hand navigation, under Administration in the Billing group, go to Number formats.

Select a series

In the row of the document type you want, click Edit on the right. A side panel opens with the editable fields and a preview.

Adjust the fields

  • Format — the structure of the number from fixed text and variables.
  • Minimum number of digits — how many digits {{NUMBER}} is padded to with zeros (1 to 12). At a digit count of 4, 7 becomes 0007.
  • Next number — the value the next new document of this series gets.

Below the fields, the preview immediately shows how a concrete number looks with your settings.

Save

With Save you apply the changes. The new preview then also appears in the overview table.

The next number can't be set below a minimum value. SimpliServ determines this from the current counter and the highest number already assigned in the series — so no duplicate document numbers can arise. The allowed minimum is shown below the field.

Available series

These document types each have their own configurable number series (with a default format):

  • Invoice — RE-{{NUMBER}}
  • Order — AU-{{NUMBER}}
  • Proposal — AN-{{NUMBER}}
  • Estimate — KV-{{NUMBER}}
  • Service request — SR-{{NUMBER}}
  • Delivery note — LI-{{NUMBER}}
  • Customer Flow — CF-{{NUMBER}}
  • Payment — P-{{NUMBER}}
  • Receipt — B{{REGISTER_ID}}-{{NUMBER}}
  • Cash movement — EA{{REGISTER_ID}}-{{NUMBER}}
  • Voucher — GS{{REGISTER_ID}}-{{NUMBER}}
  • Z-report — Z{{REGISTER_ID}}-{{NUMBER}}

Receipt, cash movement, voucher and Z-report are register-related: the counter runs separately per register, and the variable {{REGISTER_ID}} inserts the respective register ID into the number.

Permissions

To view the number formats you need the View settings permission (admin.settings.view). To change the format, digit count or next number, Edit settings (admin.settings.update) is additionally required. Without it, the fields in the edit area are read-only. You manage permissions under Users & roles.
