Inventory management & storage
Central inventory settings: the default warehouse for stock postings, create warehouses and locations, configure reorder notifications and keep an eye on the account's file storage
→ Open inventory management · Open file management
Under Administration → Inventory management you centrally set how SimpliServ handles warehouses and stock: which warehouse is posted to by default, which warehouses and locations exist and when your team gets a reorder notification. The operational stock control itself (movements, stock count, transfers) is described under Manage inventory and Inventory logic & stock control.
You open the page with the View settings permission (admin.settings.view). To save you additionally need Edit settings (admin.settings.update).
What's on this page
Inventory management bundles four areas on one page:
| Area | For what |
|---|---|
| Warehouse defaults | the default warehouse for automatic stock postings |
| Reorder notifications | the global toggle + defaults for minimum and safety stock |
| Warehouses | create and manage physical and virtual warehouses |
| Locations | finer storage places (shelf, compartment, service van) across all warehouses |
Set the default warehouse
The default warehouse is the warehouse SimpliServ posts to when no other warehouse is explicitly chosen – e.g. when booking out parts from an order or at a quick sale at the register.
Choose a warehouse
In the Warehouse defaults area, under Default warehouse, choose the primary warehouse for stock outflows and inflows.
Save
Click Save. From now on, postings without an explicit target land in this warehouse.
Without a default warehouse, postings without an explicit target have no catch basin. First create at least one warehouse (the Warehouses area below) and select it here.
Reorder notifications
In the Reorder notifications area you set when your team learns that stock is running low, and which default thresholds apply to items without their own values. How the warning is triggered in detail, who gets it and how open purchase orders affect it is explained in the dedicated guide Reorder notifications (stock warnings).
Three settings:
- Send reorder notifications — the global toggle. Off = no one gets stock warnings (the stock display in the warehouse still stays coloured).
- Default minimum stock — applies to items without their own minimum stock.
0turns off the notification for these items (without a defined threshold there's no reorder recommendation). - Default safety stock — a buffer above the minimum stock. It widens the yellow "Low" range before an item jumps to "Reorder".
These values are only defaults. A minimum stock stored on the product or on the stock row always takes precedence over the default.
Create a warehouse
In the Warehouses area you create any number of physical and virtual warehouses (e.g. "Main warehouse", "Service van", "Consignment"). Each warehouse gets a name, code and optionally an address.
Details on stock control per warehouse – target/actual stock, movements, stock count – are under Manage inventory.
Locations
Locations are the finer level within warehouses – shelf, compartment or bay – and are managed here across all warehouses. That way you find an item's exact place again when scanning or picking.
Keep an eye on storage usage
"Storage" means two different things in SimpliServ – don't confuse them:
- Warehouse/storage (stock): physical goods, here on the inventory management page.
- File storage: the disk space of all uploaded files (photos, PDFs, attachments) of your account.
You see the file storage under Administration → File management in the Storage usage card: Total used (the sum of all files) and Files stored (the count). Use this as a rough overview of how much uploads are filling your account.
