Global search
Global search in SimpliServ: find records with Cmd/Ctrl+K, navigate quickly and create new ones – plus the admin setting for which record types and fields are searched.
→ Open global search settings in SimpliServ
You'll find the global search everywhere in the workspace at the top of the sidebar (the Search... field) – or you open it via a keyboard shortcut. It searches your records (contacts, orders, invoices and much more) and additionally offers quick navigation and creation commands. In administration you set which records and fields are searched.
Open and use search
Open search
Press Cmd + K (macOS) or Ctrl + K (Windows/Linux) from any page. Alternatively you click the Search... field in the left-hand navigation. Pressing the shortcut again closes search.
Enter a search term
Type at least 2 characters. The search starts automatically and shows matching records under Results. Up to 5 hits are shown per type.
Open a hit
Select an entry with the arrow keys and press Enter – or click it. SimpliServ jumps straight to the record.
As long as you haven't typed anything, the search shows the last five records you opened under Recently visited – handy for quickly returning to a recently worked-on case.
What the search finds
Besides records, the search contains fixed command groups:
- Navigation – jump straight to modules like orders, invoices, contacts, products, warehouse or time tracking.
- Create – quick commands: New invoice, New order, New proposal, New contact and New product.
- Administration – jump targets into administration (only visible with admin permission).
- Results – the actual record hits from the enabled search types.
Which entries you're shown depends on your permissions: if you have no access to invoices, for example, neither the navigation nor the create command nor invoice hits appear.
What is searched (admin)
Which record types and which fields the global search considers is controlled centrally under Administration → Global search. This setting applies to all staff of your account.
For each searchable record type there's its own card. These cards cover the following fields:
- Contacts – name, last name, full name, company, email, phone, website, notes, UID/VAT ID, tax number, IBAN, BIC and addresses.
- Customer orders – number, make, model, serial number, issue description and customer.
- Orders – order number, serial number, model, notes, note, shipping and billing address, customer and proposal title.
- Products – name, EAN, SKU, manufacturer, device model, description and note.
- Product families – name, variants, manufacturer, device model, description and note.
- Invoices – invoice number, notes, note, payment terms and customer.
- Proposals and estimates – number, title, notes, note, terms and customer.
- Shop orders – number, external order number, notes, note and customer.
- Delivery notes – number, tracking number, notes, note and customer.
- Service registrations – number and customer.
The card and field labels are currently shown in English in the settings view (e.g. "Customer", "Invoice number"). The list above maps them for you.
Configure search types and fields
Turn a record type on or off
With the toggle on the right of the card header you enable (Active) or disable (Disabled) the entire type. If a type is disabled, the card hides its fields.
Select fields
Under Fields you tick which columns are searched. The fewer fields active, the more targeted (and faster) the hits. By default the most important fields are pre-selected per type.
Include custom fields
Types that support custom fields (contacts, customer orders, orders, products) additionally show the Custom fields area. If you haven't created any yet, the note "No custom fields defined yet." appears. More on this under Custom fields.
Save
Click Save. On success the confirmation "Search settings saved" appears.
To edit these settings you need the Manage settings permission. Without it you can view the configuration, but the fields and toggles are greyed out.
The search configuration only sets which fields are searched. Who actually sees which hits is still governed by each staff member's module permissions – see Users & roles.
