Shop orders (Shopify, Wix)

How orders from online shops arise in SimpliServ, and how they're processed and shipped

→ Open the "Shop orders" module in SimpliServ

Shop orders arise automatically when a customer places an order in a connected online shop (Shopify, Wix). SimpliServ receives the order via webhook, immediately reserves stock and creates a paid invoice.

Lifecycle of a shop order

        ↓
Stock is reserved (suppressed channel push, no echo)
        ↓
Invoice created automatically (status: Paid)
        ↓
Delivery note is created (status: Draft)
        → ShopOrder status: In progress
        ↓
Delivery note is marked as shipped
        → Stock is booked (reserved↓, total↓)
→ ShopOrder status: Partially delivered / Delivered
→ Stock push to Shopify / Wix

Status of a shop order

StatusMeaning
OpenWebhook received, no delivery note yet
In progressAt least one delivery note in draft, nothing shipped yet
Partially deliveredAt least one delivery note shipped, but not all quantities covered
DeliveredAll ordered quantities booked out via shipped delivery notes
CancelledCancelled in the shop (terminal status, no longer overwritten)

The status is calculated automatically from the state of the delivery notes — no manual setting needed.

Ship an order

Open the order

Open the order you want via the Shop orders module. Addresses and line items are already taken over from the shop.

Create a delivery note

On the ShopOrder detail page, click New delivery note (or use workflow automation). The delivery note is created in status Draft — from now on it serves as a picking list for the warehouse.

Stock is not yet booked in this step. The reservation from the webhook intake remains.

Pick the goods

The warehouse worker physically takes the goods from the shelf based on the delivery-note draft.

Mark the delivery note as shipped

In the delivery-note detail, Mark as shipped. Optionally enter the tracking number + carrier.

Now:

  • Stock is booked (reserved↓, total↓)
  • Delivery-note status: Shipped
  • The stock update is pushed to Shopify / Wix
  • The ShopOrder status is updated to Partially delivered or Delivered

For shop orders the delivery-note path is mandatory for shipping — no direct "Dispatch" like with a CRM order. Reason: tracking, the shipping document and channel sync all hang off the delivery-note finalization.

Partial deliveries

Multiple delivery notes can be created per shop order. Example:

  • Order for 5 units of product X
  • Delivery note 1 with 3 units → shipped → status Partially delivered
  • Delivery note 2 with 2 units → shipped → status Delivered

Each delivery note only books its own share out of the warehouse when shipped.

Cancellation in the shop

If the order is cancelled in the shop (Shopify, Wix), an orders/cancelled webhook comes in:

  • The reservation is released (reserved↓)
  • Shopify decides itself whether the goods go back into available stock (a restock webhook comes separately)
  • The ShopOrder status is set to Cancelled (terminal)

Invoice

The invoice is created automatically in the background on webhook intake, because shop orders are already paid on creation. It's immediately in status Paid and is available for the customer as a PDF download.

Manual invoice creation via the shop-order detail page is additionally possible (e.g. for reversal credit notes).

Channel sync

After every relevant stock movement (delivery-note finalize, cancellation, manual adjustment), the new free available stock is pushed to Shopify / Wix:

  • Shopify: multi-location, each mapped warehouse is pushed individually
  • Wix: single-location, only the default warehouse is pushed

That keeps the shop stock in sync with SimpliServ. Echo loops are prevented via suppressChannelPush on channel-originated actions. How you connect products and stock in general is covered under Set up channel sync.

Workflow automation

Via the workflow module you can automate actions, e.g.:

  • On order received → email to the warehouse team
  • On order delivered → email to the customer with tracking
  • On order cancelled → Slack notification

Details under Workflows.
