Public order registration
Customers create an order directly without logging in: contact details, product and the requested work. SimpliServ immediately creates an order, assigns the customer and starts the customer flow.
With public order registration, customers create an order themselves without logging in: they enter their contact details, the product concerned and the requested work. From this, SimpliServ immediately creates an order, creates the customer (or matches them by email address) and starts the matching customer flow.
Distinction: Order registration creates an order directly – with no intermediate step. That's different from service registration, which first creates a service request. Service requests have to be reviewed first and accepted and converted in Handle service requests. Choose order registration when every submission should run immediately as an order (e.g. accepting mail-in submissions).
What is the public portal?
The registration page is reachable at https://simpliserv.app/order-registration/<slug>. The <slug> identifies your organisation – the company name and logo appear automatically in the header as soon as the page loads.
The page carries the heading Customer sign-up (with the company name, if set) and the subtitle "Tell us about your product and what needs to be done.". It's mobile- and desktop-friendly and needs no login.
How customers fill in the form
Enter customer details
Required fields are first name, last name, email (a valid address) and phone. The customer is later found or newly created in the system via this email address.
Addresses (optional)
The shipping address (optional) and billing address (optional) sections are collapsed and can be expanded if needed. Fields: address line 1 and 2, postcode, city, region and country. Country options are Austria, Germany and Switzerland (default: Austria).
Enter product details
Make and Model + colour (required). These two entries land as a note on the order (format Make - Model + colour).
What needs to be done
In the Describe the work field, the customer describes the requested work (optional, maximum 2000 characters). The text becomes the order note.
Submit
With Submit registration the order is created. If validation fails, the errors appear directly on the affected fields.
What happens after submitting
Right after submitting, the customer lands on the confirmation page with the message Request received. If an order number was assigned, it's shown (Order number: …). The customer is asked to open their confirmation email and enclose the PDF attached there with the package.
In the system, the following happens automatically:
- Create or match the customer – by email address (case and whitespace are normalized). Address data is taken over on new creation.
- Create the order – with its own order number, the product as a note and the description as a note. Amounts are initially 0 and are maintained later in the order.
- Start the customer flow – a customer flow (
KV-…) is created or linked to the order.
A public order registration contains no line items, prices or employee assignment. You add those after intake in the order itself – see Create & process an order.
Print the service tag
On the confirmation page, the Open preview button is available in the Print service tag block. It opens the identical service-tag preview (the order label), which the customer or the intake point can print with the default printer.
→ Customize the order-label layout in the label editor
The preview only works right after submitting: the order data is held in the browser (session) and is no longer available after closing or reloading. If Preview not available appears, the order has to be registered again. How you design the label is covered under Order settings & labels.
Handle incoming orders
You'll find registered orders in the navigation under Service → Orders. There you open the order, add line items and prices, assign it to an employee and process it further.
Sharing the link
You share the order registration via its public URL – as a button, text link or via <iframe> on your own website. The page applies to your whole organisation; branding (logo, company name) is applied automatically.
There's currently no dedicated copy button for the order link in the admin area. If instead you need a self-service form with customizable fields and a triage step, use service registration and adapt it under Customize the service registration form.
