Point of sale (POS)
Handle cash sales via the SimpliServ register – sessions, sales, vouchers, partial payments, orders, cancellations, reports
→ Open registers in SimpliServ
SimpliServ's integrated register suits workshop counters, shops and mobile sales. It covers cash and card sales, vouchers (→ details), partial payment, cashing in orders with auto-dispatch, cancellation with stock restore, and RKSV-compliant receipts.
Terms
| Term | What it means |
|---|---|
| Cash session | A shift at a register. It's opened (opening float) and closed (count → Z-report). |
| BON | Cash/card receipt (B{register no.}-{seq. no.}). RKSV-signed. |
| GS receipt | Voucher-sale receipt (GS…). |
| EA receipt | Deposit/withdrawal receipt (EA…). |
| Z-report | Day-end at session close. Immutable, archived. |
| Interim report | Day's status with an open session. Helps with interim counting. |
| Cash report | Period report (freely chosen range) with a payment-method × tax matrix + voucher activity. |
| POS invoice | An internal collection record for each sale. Has no invoice number, appears nowhere in the invoice list. |
Cash session
Open a session
Register → Start session. Enter the opening float (0 is possible too). One open session per register per business day. On "Open" again, the same open session is returned automatically (idempotent).
Interim report (optional)
With an open session, retrieve an interim report as a PDF via the menu. It shows the current status: cash sales, card sales, movements, expected cash on hand.
Close the session
Close session → count cash → enter the counted amount. SimpliServ automatically produces a Z-report with revenue, payment-method split, difference (counted − expected). Archived immutably.
Record a sale
Add products
Four ways into the cart:
- Category tiles: navigate through categories, click a product tile.
- Search at the top (F8): type → live suggestions (products at the top, invoices/orders/cases below – see Scan a visible number).
- Barcode scanner: scan directly with a hardware scanner. Recognizes product codes, serial numbers and INV-/ORD-/CR-/CF- codes on invoices, orders and customer flows.
- Quick-sale tile: a free line item with a name, price and tax rate – no product needed (e.g. a service).
Edit per line
Click a row → dialog:
- Change quantity (stepper or direct entry)
- Line discount % or fixed in €
- Override the gross price
- Remove the line
- For serialized items: capture or scan serial numbers per unit
Cart-wide
At checkout:
- Cart discount in % (quick pick 0/5/10/15/20%) or fixed in €
- Redeem a coupon code (a promo coupon reduces the tax base; a voucher acts as a means of payment – see Vouchers)
- A note on the sale
Payment
Hotkey F2. The suggested payment amount = cart total. The cashier enters the cash received; change is calculated automatically. Quick buttons for rounded amounts (10/50/100).
Special cases
- €0 sale: allowed once at least 1 line is in the cart (e.g. 100% discount or a fully covering voucher). The BON is still signed and printed.
- Multiple tax rates (20% + 10% + 0%) in one sale: the tax breakdown on the receipt is correct automatically.
- Serialized items: each unit needs a serial number. If slots aren't fully captured, the sale is blocked.
- Stock: out-of-stock items show a red tile and aren't clickable. Trying anyway → a clear error message with the product name.
Orders & invoices at the POS
Scan an order (pay)
Scan an ORD code (e.g. ORD-20260515-0049) or an order QR → SimpliServ:
- Finds the order.
- Secures an order lock (prevents two registers cashing in the same order at once). On conflict: a note + a takeover option if you have the permission.
- Automatically ensures the canonical order invoice (idempotent — one real invoice per order, with an AT-/RE number and stored on the customer flow).
- Jumps straight into the order's checkout. The items are read-only — for a scanned order you can only pay, no additional items.
- On "Back" in the checkout, the bind is discarded → empty cart → a new scan is needed.
Auto-dispatch on payment
Full payment of an order → automatic dispatch: stock is
reduced, delivered_qty set, the order's shipping status to
delivered. No separate handover step needed.
- Partial payment on an order → no auto-dispatch; the order stays open.
- For service lines without a product binding: no stock effect – the order becomes
partially_delivered(product part delivered, service not dispatchable).
Scan an invoice (INV-)
INV code → the invoice line items are loaded into the cart, the cashier pays. The receipt is auto-printed.
Scan a customer flow (CR-/CF-)
- CR code (QR, DB id) → resolved directly.
- CF code (a visible display number like
CF-0057) → resolved to the id via search.
Then: if the flow has an invoice → it's loaded. Otherwise the linked order.
Type or scan a visible number
In the search field at the top, the cashier can also type instead of scan. Live suggestions
show products at the top, then invoices, orders and cases below — each found
via the actual display number (e.g. AT-2026-0072, ORD-2026-…,
CF-0057). Selecting loads the object straight into the register.
Cancellation
Existing receipt → select it in the cash book (journal/ledger) → Cancel.
| Cancellation case | Behaviour |
|---|---|
| Cash/card sale | A negative cancellation receipt, RKSV-signed, the original set to cancelled. |
| Stock on cancelling a POS sale | Booked back automatically (serial numbers become available again). |
| Voucher-paid sale | Cash refund, the voucher balance is not topped up again. |
| Voucher sale (GS receipt) | Only allowed if the voucher has never been redeemed; otherwise a note. |
| Cancellation refund method | Marked as either cash or bank transfer. |
Cash movements
- Deposit (top up change, bank delivery): EA receipt, cash on hand +
- Withdrawal (petrol money, bank drop): EA receipt, cash on hand −
Both are shown separately in the Z-report and are included in every cash report.
Reports
| Report | When | Content |
|---|---|---|
| Interim report | With an open session — at the press of a button | The current day status: sales by payment method, movements, expected cash on hand |
| Z-report | Automatically on closing the session | Revenue, tax-rate split, payment-method split, voucher block (issued/redeemed), difference |
| Cash report | Any period, freely retrievable | Totals + payment-method × tax matrix + voucher activity across several days |
All reports are PDFs, archived, GoBD-compliant (see GoBD archiving).
Fiskaly compliance (RKSV/TSE)
For registers in Germany (TSE) and Austria (RKSV), the Fiskaly integration is built in. Enable it under Administration → Register.
- Every sale, voucher receipt and cancellation is signed and secured immutably.
- On a Fiskaly outage (the security device), the receipt is still issued with an outage marker per § 17 RKSV — the signature is caught up later.
- Details: RKSV logic & fiscalization.
POS invoice (internal, invisible)
Behind every sale there's internally a POS invoice as a data anchor (line items, stock link, payment link). It is:
invoice_type = pos- has no invoice number (draws none from the real invoice sequence)
- appears nowhere in the invoice module, in search or in reports
- exists only for internal linking — the customer sees only the BON
Real invoices arise at the POS only for the "Invoice" payment method or partial payment. These carry an RE-/AT number and are fully visible.
GoBD archiving
All receipts and Z-reports are archived automatically in a GoBD-compliant way. Details see GoBD archiving.
