SEPA mandates

Create SEPA direct debit mandates, issue them as a PDF form, revoke them and use them for direct debit payment runs

→ Open SEPA mandates in SimpliServ

Before you may collect invoices by direct debit, SimpliServ needs a signed SEPA mandate from the customer. Under SEPA mandates you manage all mandates in one place; payment runs and customer contracts use them.

You see the list with the permission payment_runs.view. Creating, editing, revoking and deleting mandates requires payment_runs.create.

Create a mandate

Open the form

Click New mandate.

Choose customer and scheme

Choose the Customer. SimpliServ takes over their name as Account holder and, if on file, their IBAN. The Mandate reference is assigned automatically if you leave it empty. As the Scheme choose SEPA Core (CORE) for private and most business customers, or SEPA Business (B2B) for business customers who have agreed the B2B scheme with their bank.

Account details and dates

Enter IBAN and optionally BIC, plus Signed on and Valid from. Under Pre-notification (days) you set how many days before the collection the customer is informed; 14 is common.

Create

With Create the mandate is saved. You cannot change the customer afterwards.

Without an IBAN the mandate stays Incomplete, and this customer's invoices are skipped in the payment run.

Mandates at a glance

The list shows Reference, Customer, Scheme, Status, the signature date and the Last collection. A mandate is:

StatusMeaning
ActiveComplete and usable for direct debits.
IncompleteDetails are missing, usually the IBAN.
RevokedYou revoked the mandate.
ExpiredThe mandate has expired and can no longer be used.

The row menu offers:

  • Edit: adjust account details, scheme and dates. In the edit form you can also delete a mandate, but only as long as no contract and no payment run uses it.
  • Mandate form (PDF): download the prefilled mandate form for signing.
  • Revoke: only for active or incomplete mandates. Afterwards the mandate is blocked for new direct debits; collections already submitted remain.

Revoke a mandate that is already used in a contract or payment run instead of deleting it. That way it stays traceable on which basis earlier collections were made.

Where mandates are used

  • Payment runs: In a direct debit payment run, every line shows the mandate reference. More under Payment runs.
  • Contracts: The contract detail page shows the stored mandate with reference, status, IBAN and signature date and links here.
