Invoice & dunning settings

Set defaults for invoices, proposals and delivery notes: payment term, cash discount, pro forma, tax cases, margin scheme, proposal validity as well as dunning levels, fees, default interest and dunning profiles

→ Open invoice settings · Open dunning · Open proposal settings · Open delivery note settings

Under Administration → Tickets you set the defaults for your documents: how invoices are paid, which tax cases can be chosen, how long proposals are valid and how dunning works. You open the pages with Administration → Settings → View; to save you need the edit right for settings. Changes affect new documents, not retroactively. Pending changes are collected by the save bar at the bottom.

You don't design the PDFs here but in the document templates – each page has the Layout templates card with Open layout editor for that. You maintain number formats under Number formats.

Invoices

Payment terms

The Payment terms card contains:

  • Terms HTML – default text shown below the totals (e.g. "Payment within 14 days").
  • Payment term (days) – new invoices are due this many days after the invoice date; 0 = due immediately. A payment term on the customer or contact group takes precedence.
  • Show payment QR code on invoices – adds a scannable bank transfer QR code to the PDFs, provided an IBAN is stored under Company.
  • Allow pro forma invoices – drafts can be sent as a pro forma invoice. It carries its own title and a note that it doesn't entitle to input tax deduction; the invoice stays a draft.

Cash discount and differences

In the Cash discount and differences card you set:

FieldEffect
Default cash discountpercent cash discount for new invoices if neither customer nor group has its own value. Empty = no discount
Cash discount daysdays from invoice date in which the discount applies
Grace dayspayments up to this many days after the deadline still get the discount without a warning
Small difference limitup to this amount a remainder can be written off when the payment arrives

Tax unification

On mixed tax rates: Always ask detects invoices and till sales with 10 % and 20 % and offers to unify them; Off skips the check. The rule is based on an Austrian BMF administrative rule – not tax advice.

Margin scheme

With Enable margin scheme, vehicles created as a used vehicle with a purchase price are automatically taxed under the margin scheme when the invoice is finalised: tax only applies to the margin. Without a purchase price on the vehicle there is no margin scheme; repairs and spare parts don't increase the purchase price.

Tax cases

The Tax cases card lists the fixed cases – such as Reverse charge, Intra-Community supply, Export supply (non-EU) or Small business (§ 19 UStG / § 6 (1) 27 UStG). Code for the e-invoice and the VAT return box are predefined. Per case you decide whether it is Selectable on invoices, orders and proposals, which Note on the document is printed (empty = default text) and – with accounting active – which Revenue account is posted to. Standard (with VAT) is always selectable.

Please coordinate changes to tax cases, note texts and revenue accounts with your tax advisor.

Proposals

On the proposals page, under Default validity, you set the Validity days: when creating a proposal, "Valid until" is set to the proposal date plus these days. Empty = no default. You open the layout via Layout templates.

Delivery notes

The delivery notes page links via Layout templates to the delivery note layout in the document templates.

Dunning

The Dunning page (Administration → Tickets → Dunning, also via Open dunning settings on the invoices page) bundles layout, dunning levels, fees, interest and dunning profiles.

Design the layout

Open dunning designer opens the PDF design for dunning letters in the document templates.

Basic settings

In the Dunnings card you set: Send dunnings automatically (a daily run at 07:00 sends due dunning letters; off = manual only), New payment term (days), Interest rate (% per year), Minimum open amount (smaller open amounts are skipped, default 5.00) and Dun channel invoices (JTL) (off by default because JTL-Wawi usually handles dunning itself).

Default interest & lump sum

Under Default interest & lump sum you maintain Base rate (% p.a.) (update every six months; empty = no interest run), Dunning fee cap (€), Surcharge B2B (pp), Surcharge B2C (pp) and Lump sum B2B (€) (statutory €40, once).

Dunning levels

For payment reminder, 1st, 2nd and 3rd dunning letter you set the interval – the reminder in Days after due date, the dunning letters in Days after previous dunning – and for the dunning letters a Default fee that can be overridden in the dunning dialog.

Dunning profiles

For customers or customer groups with different rules you create a profile under Dunning profiles with New profile: Highest dunning level, intervals and Fee per level, Charge default interest, Charge late-payment lump sum and Hand over to collection after. A profile can be marked as Default profile. Customer beats group, group beats default; without a profile the settings above apply.

How to create and send dunning letters day to day is described in Dunning.
