Time tracking & attendance settings

Set clocking behaviour, app lock, breaks, lateness tolerance and rest period, configure time tracking on tickets, export leave records, set course planning and hours per leave day in the roster

→ Open clocking settings · Open time tracking · Open leave records · Open roster settings

In the Administration → People & time area you define how your team clocks in, how working time is billed on tickets and how the roster looks. You open the pages with Administration → Settings → View, the leave records with Absences → Approve. Pending changes are collected by the save bar at the bottom. How employees clock in themselves is described in the time clock.

Clocking behaviour

On the Attendance page you set in the Clock-in settings card:

SettingEffect
Allow self clock-inemployees clock in themselves via the button in the header. Off = terminal only
Block app when not clocked infull-screen lock until the person is clocked in. Anyone with attendance.bypass_gate is exempt
Automatic break detectionstarts the statutory break automatically as soon as working time exceeds the statutory threshold
Book the statutory break on clock-outanyone working more than 6 hours without a break gets the missing half hour entered as a break when clocking out; the end of work shifts accordingly
Late-arrival grace periodminutes after the planned shift start from which clocking in counts as late (0 = exact start)
Employees in the employee pickerwhich employees are offered when assigning (orders, tasks, cashier): All employees, Only clocked-in employees or Clocked-in + exempt from clocking in
Employees receiving notificationswho receives in-app and email notifications, with the same three options

Rest period

Below is the Rest enforcement card. Under Mode you choose Off, Warn or Block when a new shift falls below the minimum rest period to the previous one. Minimum rest sets the hours; 0 takes the value from the labour law of the location (11 hours).

Statutory break, leave and working-time limits depend on the country of the location. You set your own rules per team under work time rules.

Time tracking on tickets

The Time tracking page contains the Default work log product card:

  • Enable time tracking – shows the time tracking area on ticket pages.
  • Tracked product – the product that turns tracked time into a billable line.
  • Add tracked time when creating an invoice – when converting an order, ticket time is inserted as a line; off = you insert it manually.
  • Update worktime when a timer stops – when stopping, the time line in the order and the ticket's invoice drafts is updated.

You also find the same card in the order settings. How time tracking works day to day: Time tracking.

Leave records

The Leave records page shows in the Leave records (Sec. 8 UrlG) card per employee Service start, Prior service, Current entitlement, Leave years and Used. Leave years are marked Closed, Forfeited or Settled. The list is built automatically from contracts and leave requests; with Export CSV you download it for payroll.

If the statutory leave model isn't active, the page shows Statutory leave model is not active – the records only fill once it is. You handle leave requests themselves under Approve leave.

Roster

Under Roster you set in the Course planning card whether the roster shows courses and course leaders instead of shifts (Course planning in the roster). This is meant for businesses whose shifts are courses, e.g. ski schools; working times stay accessible.

The Hours per leave day card determines how many hours a vacation or sick day counts in the roster's weekly hours. By default the Daily target from the employment contract applies. If you switch on Fixed hours per day, every leave day counts with the value from Hours per leave day (e.g. 8). More on planning and the hours balance: Shifts.
